Most people arrive here with a specific number in their head: under 2 MB for a job application, under 500 KB for a web form, small enough that an email won't bounce. That's a different problem from compressing for quality, because you have a hard ceiling and need to land beneath it. Dimensions first, quality second

File size scales with pixel count, and pixel count scales with the square of the width. Halving a 4000-pixel-wide photo to 2000 cuts the pixels to a quarter — usually a bigger reduction than any quality setting, and with no compression artefacts at all because you're removing pixels rather than degrading them. Ask what size the image will actually be viewed at. A document scan for a web form needs perhaps 1500 pixels on the long edge; anything beyond that is weight nobody sees.

Common limits, and what they need

Email attachments generally cap around 20-25 MB total, though many corporate servers are stricter. Government and job-application forms often demand under 1 MB, sometimes under 200 KB for a photo. YouTube thumbnails must be under 2 MB. Passport and visa uploads frequently specify both a size range and exact dimensions. When a form specifies dimensions too, resize first and compress second — compressing a wrongly-sized image just wastes quality you'll lose anyway.

When the file still won't shrink enough

If you're at the smallest setting and still over, the image is almost certainly larger in pixels than it needs to be. Reduce the width and the ceiling drops immediately. Failing that, check what you're actually compressing: a screenshot or scanned text document will shrink further as lossless WebP than as a heavily-compressed JPEG, because its content is flat colour and sharp edges rather than photographic detail.

How do I make an image a smaller KB or MB?

Pick a stronger compression level and read the size shown for each until one comes in under your target. WebP output produces the smallest files. If nothing fits, reduce the pixel dimensions — that lowers the ceiling far more than quality alone.

How do I get a photo under 1 MB?

Most photographs clear 1 MB comfortably at a mid compression level, especially as WebP. If yours doesn't, it's probably very large in pixels — a 12-megapixel camera photo is carrying far more resolution than any web form displays.

Which format gives the smallest file?

WebP, almost always, and it keeps transparency. The one caveat is compatibility: if the form or application rejects WebP, use JPG, which is universally accepted and only slightly larger.

Will reducing the size make it blurry?

Not at sensible settings. Blur comes from pushing quality far down or scaling up afterwards. Reducing dimensions to what's actually displayed doesn't soften anything — the extra pixels weren't visible in the first place.

Yes, but keep it lossless. Text and line art are exactly what lossy compression handles worst, producing halos that make small type mushy. Use WebP lossless or PNG output and reduce dimensions rather than quality.
